One Gas Fleet Administrative Assistant in Tulsa, Oklahoma

Position Description:

Responsible for the overall administrative support related to fleet management.

Maintain department records including but not limited to the following areas:

Renewals and registrations of all motor vehicle license

Vehicle database

Mileage records and engine hour usage

PTO meter usage and Flat Fee processing

Process monthly lease information, credit card statements and provide time entry support.

Track purchase of units including the following responsibilities:

Prepare bid packages for vendors

Prepare leased vehicle and equipment purchase orders

Process vehicle and equipment invoices for payment

Track replacement units

Notify insurance company to update policy

Utilize computers to research, compile and compose correspondence and reports from written and/or verbal instructions including but not limited to:

Mileage reports

Vehicle expense reports

Leasing reports

Employee/vendor information

Capital job orders

Regular and reliable attendance is required in performance of job.

Employee may be required to perform additional duties as assigned.

Position Requirements:

Preferred Associate's Degree or equivalent job-related experience

Working knowledge of fleet guidelines including leasing agreements.

Knowledge of applicable laws and regulations governing vehicle license and registration

Demonstrated ability in use and function of office equipment applicable to position including computers, photocopiers, facsimiles, and applicable software.

Working knowledge of company's policies, procedures, and use of terminology applicable to position.

Knowledge and/or training including:

Budgets

Word processing, spreadsheet, and presentation software such as Microsoft Word, Excel and PowerPoint

Maintain physical and/or electronic filing systems

Handling confidential and/or sensitive information

Planning conferences and meetings

Generally accepted standards for grammar and punctuation

Working knowledge reading and interpreting various types of manuals, forms, publications and reports.

Experience interacting and communicating effectively with internal and external customers.

Experience composing and preparing correspondence and reports.

Demonstrated ability to read and write fluently in English.

Minimum Applicable driver's licenseAble to operate office tools and equipment required.

Communicate and/or exchange verbal and written information or instructions.

Visual abilities sufficient to perform job duties. #officeoperations
